Job Description

Eastpark Church is looking for a new Church Administrator.

A  -  Purpose and Scope of Role
The Church Administrator’s primary role is to ensure the general administrative work necessary for Eastpark Church to function well and fulfill its mission is done.  
Besides the administrative tasks, the church administrator has two primary functions:
     1. The Hub of the church.  The administrator must be aware of what’s happening in the church (pastoral cases, facility use, church events, systems and planning etc), so they can increase overall efficiency by facilitating connections, identifying conflicts, recognizing opportunities and directing people.  
     2. Be a Firewall to the staff/leadership.  The administrator protects other staff and leadership from unnecessary interruptions and distractions.  If you can deal with it—please do so. 


Specific Tasks:
     1. Office – be the ‘face’ of Eastpark office, welcoming and facilitating walk-ins.
     2. Administration – general administrative functions (e.g. mail, conference registrations etc); manage contracts and or service agreements entered into by Eastpark (e.g photocopier, utilities etc); oversee security, including the distribution and control of keys, alarm codes, recruiting and overseeing alarm responders, recruiting and overseeing Sunday lockup team, recruiting and overseeing counting team, recruiting and overseeing administrative volunteers, and tracking facility use.
     3. Telephone – answering and redirecting calls during office hours.
     4. Communication – oversee the development, production and distribution of Eastpark’s communication and promotional materials, including the weekly bulletin, maintenance and oversight of online calendar, Facebook page, church app, website and special promotion pieces.
     5. Facilities - coordinating facility bookings with master calendar; contact person for facility rental and use.
     6. Finance – write and distribute checks required; manage Administrative section of Eastpark budget.
     7. Human resources – recording staff leave.
     8. Office – ordering and maintaining office supplies.
     9. Records – maintaining church records; oversee and manage Eastpark database; initiate and facilitate background checks for anyone serving at Eastpark (paid or volunteer); manage and track all Eastpark statistics, including communication card information, attendance numbers, prayer requests, Partnership process, baptisms and new believers, adherence to Eastpark bylaws and Elders terms of office. 
     10. Pastoral – praying with people occasionally as needed, redirecting external requests for help, coordinating some pastoral care functions (flowers, cards etc).
     11. Annual Meeting – produce the annual reports for the C&MA Office and the Eastpark partnership; attend and take minutes; produce, oversee and tabulate ballots.
     12. Scheduling – schedule and arrange meetings for Lead Pastor.

     1. Hours of Work – 20 hours weekly (5 hours a day, Monday to Thursday)
     2. Compensation – available upon application
     3. Contract Period – this is a permanent part time position with the potential to become a full time role as the church grows
     4. Report – to the Associate Pastor
