Position Description: Office Assistant


Status: 25 hours per week


General Purpose of the Position:


We are looking for a proficient Office Assistant to help with the organization and running of the daily administrative operations of Grace UMC Hummelstown. The ideal candidate will be a hard-working professional who is organized and able to undertake a variety of office support tasks. Competency in both Microsoft Office suite and Google email client is required. This position reports directly to the senior pastor.


Primary Tasks:



  • Complete typing duties, correspondence, and filing as assigned.

  • Provide clerical support for the senior pastor, church staff and parishioners.

  • Assist in scheduling appointments and meeting dates for the Senior Pastor.

  • Screen and route all incoming calls.

  • Type and print weekly bulletins and announcements for Sunday services (for church services, children�s bulletins and modern worship).

  • Keep accurate membership records (weekly attendance, membership dates, baptisms, etc.)

  • Order and maintain office supplies and equipment.

  • Act as liaison with UMC Harrisburg District Office.

  • Print giving statements and deliver appropriately to the business manager or finance committee, including daily and weekly VANCO reports.

  • Post and prepare bulk mailings.

  • Manage vendor relations, including contracts and approval of invoices.

  • Organize and manage pictorial directory for the church.

  • Arrange altar flowers following Sunday services for home visits.

  • Assist in completion, duplication and submission of Annual Charge Conference material.

  • Coordinate scheduling of weddings, baptisms and memorial services with the Senior Pastor.

  • Create and prepare baptismal/confirmation certificates.

  • Create and prepare memorial bulletins.

  • Assist the Wedding Coordinator with bridal questions and requests.

  • Support program director with community use contracts.

  • Prepare memorial and honor gift thank you�s.

  • Order and distribute Giant gift cards.

  • Create, prepare and distribute monthly newsletters.

  • Act as liaison with LDSD Skills Team.

  • Provide support in managing church website and social media outlets.
