Job Description

The office manager manages effective church office operations in collaboration with church staff, congregation members, and church board members according to Church policies and procedures. The manager works with the Worship Planning Team to prepare and distribute all worship materials. In addition, they collect, organize, and maintain records pertaining to the church operations. The office manager performs effective written and verbal communication functions to inform and notify appropriate parties.

Essential Job Functions
Manage effective church office operations
Including but not limited to:
● Supplies and office expenditures
● Emergency management plan
● Computer & office equipment
● Security of and handling sensitive information
● Reception duties
● Maintain materials in church-proper such as newsletters, brochures, etc.
● Maintain Welcome Center
Prepare and distribute Worship Materials including effective collaboration with Worship
Planning Team
Including but not limited to:
● Sunday Worship Services
● Holiday and Special Services, including weddings and funerals
Develop and maintain accurate record keeping systems
Including, but not limited to:
● Church statistics and records such as attendance, contributions, and membership data
● Assist Bookkeeper, Financial Secretary & Treasurer to manage financial records as needed
● Archival information such as minutes, newsletters, bulletins, and other historical information
Prepare and distribute effective written and verbal communication to inform and update appropriate parties
Including, but not limited to:
● Church and facility use calendar
● Monthly newsletter
● Weekly website and social media updates
● E-mail and phone/voice mail systems
● Annual report
● Mailings and correspondence
● Church meeting materials
● Cooperative and pleasant communication with church staff, members, and visitors

Hours and Compensation
The office manager position is a part-time hourly employee who will work an average of 10 hours per week, preferably from 9:00 a.m. – 12:00 p.m. MWF, with the ability to flex time up or down according to church activities. Position pay starts at $20.00/hour commensurate with experience. The position will offer 20 hours paid time off per year after 3 months of employment.

Qualified applicants will have the following characteristics:
● Ability to communicate in a welcoming, positive manner in such a way as to serve as an effective representative of the church staff and congregation.
● Excellent organizational skills and attention to detail.
● Proficient in Canva online graphic design tool, Microsoft Word, Excel & Power Point.
● Capable of learning church specific software such as Shepherd’s Staff.
● Ability to use and connect with congregants over social media.
● Good written communication skills.
● Ability to multi-task, set priorities and adjust focus as needed.
● Ability to work independently and make decisions based on church policies and

Conduct Expectations
The Office Manager will be expected to carry out the designated policies established by the Pastor, Church Council, and congregation. They will also maintain absolute discretion in dealing with confidential information about office procedures, and members and families of the congregation.
Cooperation and coordination among the Office Manager, Pastor, church leadership and other members of the office/support staff is essential and expected.

Direct Reports
All members of the church staff are employees of Messiah Lutheran Church and will report to the Pastor. Weekly staff meetings are held to review ministry activities and responsibilities and
address any matters relating to church operations.

Physical Requirements
The office manager will need to be able to sit at a desk for a minimum of four hours daily. The employee should be able to lift 25 pounds and walk up and down a flight of stairs.

Background Check
Messiah Lutheran Church (MLC) will perform a work history and criminal history check on all data given in the application for employment, related papers, and/or oral interviews. Authorization of
such investigation will be requested prior to hiring.
